Room rental policy at the GTC

Rental Policy for CGV Rooms

The rooms available at the Centre des Grands-Vents are adapted for cultural activities (singing, art, etc.) or sport activities. Please let us know as soon as possible if you are renting a room for one of these types of activity.

Hours of Operation of the Centre des Grands-Vents

The Centre des Grands-Vents has different schedules according to the time of year:

 Saturday and Sunday: 8:30am to 4pm
Dates Closed

Reservations are not available when the Centre des Grands-Vents is closed.

Reservations are also not available on statutory holidays:

  • Easter weekend (Friday and Monday inclusive)
  • Victoria Day (the Monday before May 25th)
  • Saint-Jean Baptiste Day (June 24th)
  • Canada Day (July 1st)
  • Regatta Day (the first Wednesday of August)
  • Acadian National Day (August 15th)
  • Labour Day (the first Monday of September)
  • Thanksgiving Day (the second Monday of October)

Please note that the Centre is also closed for two weeks for Christmas vacation.

Janitorial Services

If your organization is not a tenant of the Centre des Grands-Vents and would like to reserve a room in the evening, please note that a janitor is present from Monday to Friday until 10pm. For rentals on Saturday or Sunday during the summer, an additional cost of $40.00/hour for a minimum of 3 hours will be added to your bill. If this extra charge applies to your rental, you will be notified when making your reservation.

Rental Rates

Please note that rates vary and that discounts may be offered based on the time of year, the reservation length and other conditions. Members of the Association Communautaire Francophone de Saint-Jean (ACFSJ) are eligible for reduced rates.

Billing

Total rental cost (including janitorial expenses if applicable) must be paid upon reservation for first-time rentals. In the event that your rental results in janitorial costs that differ from those represented on your bill, a second bill will be sent to you or a credit will be applied to your account for your next rental.

For all rentals, your bill will be sent to you in the mail. Payment can be made by cheque, cash, Interac transfer, or directly online. We do not accept payment by credit or debit cards. Payment must be made within 30 days from the rental date.

Cancellation

Cancellation fees will be charged as follows:

  • with 15 working days notice, no cancellation fee will be charged.
  • with 5 working days notice, 50% of your rental fee will be charged.
  • with 2 working days notice, the full rental cost will be charged.

Example: You have a reservation made for Wednesday, July 31st. To avoid all cancellation fees, you must cancel your reservation prior to Wednesday, July 10th. If your reservation is cancelled between July 10th and July 26th, you will be charged 50% of the rental cost. If your reservation is cancelled after or on July 29th, you will be charged the full rental cost.

Use of Rental Facility

We reserve the right to cancel any reservation if you are using a room that is too small for your needs (Example: using a room with a 10-person capacity for a meeting with 24 people). To avoid this inconvenience, please share your needs and requirements with the Centre Coordinator to help us best respond to your needs.

Repeated or Long-Term Rental

Please note that we offer reduced rates for repeat rentals (weekly or monthly) or long-term rentals (one-month continuous rental). These offers will be shared with you on a personal basis once you have contacted us with your needs and requirements.

Condition of Rooms

Please note that upon your arrival, the tables and chairs are placed in a specific way. We ask you to put them back in the same way you found them. A room plan is available at the entrance of the facility to help you. Please ensure that no fewer than two people lift or move a table as they are heavy. For an additional cost, we can take care of setting up and putting back the room for you.

We also ask that you remove the garbage, close the windows, and ensure that the door to the room is locked. An additional charge of $40.00 may be incurred if the room is not left in the same condition as before your reservation. Any damage to equipment will be added to your bill. All decorations must be removed prior to departure. You may request that a room be set-up for a conference and furniture put away after. An additional cost will be billed to you for this service.

Renter Confidentiality

The ACFSJ maintains the confidentiality of parties reserving facilities at the Centre des Grands-Vents. The ACFSJ will therefore not provide the name of renters to any other organization/group/individual interested in renting the same facility for the same time-slot.

Loss/Theft

The Centre des Grands-Vents is not responsible for lost or stolen objects (jewellery, clothing, glasses, wallets, etc.).

Order of Priority

Rooms are rented on a first come, first served basis. If an organization wishes to reserve a room that has already been reserved, the ACFSJ will not cancel the first reservation in favour of the second. We will, however, do our best to find a facility that meets the demands of the second organization.

Operations

Upon arrival, we ask that you come to the ACFSJ offices (suite 254) so that we can unlock the door of the room that you have reserved. At this time, all rented materials and equipment will be provided to you. We do not install equipment in the room for you. You are responsible for ensuring that all equipment is in working order when you take possession. All equipment should be returned to the ACFSJ offices (suite 254) after use.

In the case that the person who has made the reservation is absent, we reserve the right to not open the door of the rented space to other participants.

Advertising your Event

If you have promotional material that you would like to put up, please let the ACFSJ know and we will provide you with relevant instructions. There are a number of areas for putting up promotional material, including the entry to the Centre des Grands-Vents, the entrance to the rented space, or the bulletin board. The ACFSJ can also share the information with our members or on social media, provided that the information is in French or (preferably) bilingual.

Animals

Animals are strictly prohibited from entering the building with the exception of guide or service dogs. Nonetheless, you may make a special request for specific activities (ex: animal therapy).

Liquor License

The ACFSJ has a license to sell alcohol and can offer a cash bar service. Please notify us as soon as possible if you require this service so that we can coordinate personnel and best respond to your needs.

Fire Services

Please note that all spaces and installations may be subject to a visit by a member of the Fire Department, Fire Prevention division, at any time during a reservation.

If you are not respecting the conditions established in the validation process with the Department, your activity may be cancelled immediately by the person in authority (preventionist, firefighter, police). The Centre des Grands-Vents will not be responsible for damages that may be incurred and there will be no possibility of reimbursement.

For security reasons, nothing should be left in the corridor.

Evacuation Plan

If the fire alarm sounds, you should:

Leave the building immediately and ensure that all of your organization’s participants or members have evacuated the building;

Make your way to the meeting point located next to the community garden (in front of the main entrance to the Centre).

An Accessible, Adaptable Building

The Centre des Grands-Vents is proud to be an accessible, adaptable building. The following features are designed to facilitate access to people living with reduced mobility:

  • Button activation for exterior doors;
  • Toilets designed in accordance with accessibility standards;
  • Washrooms fitted with a support bar;
  • Stairs with handrail on both sides;
  • Height of signage;
  • Adapted door handles (lever handles);
  • Wheelchairs available at reception;
  • Parking for three- and four-wheeled scooters;
  • Changing table for babies

People with Reduced Mobility

The City of St. John’s requires, as a precautionary measure, that groups of persons with reduced mobility assembled in one of the rooms at the Centre des Grands-Vents ensure the presence of person responsible for the group and a person capable of moving people in the case of an emergency. By “people with reduced mobility” we understand small children as well as individuals who move around with the assistance of a cane, a three- or four-wheeled scooter, or a wheelchair.

The Centre des Grands-Vents has parking spaces available and we invite you to make use of them. A second entrance is located on the left hand side of the building, closer to the parking area.

Restaurant or Catering Services

When making a reservation at the Centre des Grands-Vents, it is possible to have your meal delivered to you or to arrange for a catering service. You are responsible for your reservations and for returning all material and equipment.
